This strategic blueprint is crucial for ensuring a seamless project execution, enabling timely updates to all stakeholders. Our approach includes developing templates for emails, instructions and manuals within a short timeframe of three days.
Effective management relies on transparent communication regarding impending changes. To streamline the deployment of Microsoft 365, Intune, or Dynamics 365, our strategy encompasses four fundamental aspects:
Identifying the nature of information to be shared: Information may be disseminated in waves to different organizational groups and users, beginning with a project kick-off, followed by pre-enrolment, enrolment, and post-enrolment phases.
Selecting appropriate delivery methods: Various methods are employed based on target audiences and project phases, such as broad organizational meetings, organization websites, Yammer, as well as visual aids, for example posters and flyers.
Tailoring communication efforts to suit the diverse needs of organizational groups and users, ensuring that pertinent information is delivered to the right stakeholders at the appropriate junctures.
Establishing a clear timeline for the dissemination of information to relevant parties. This involves scheduling kick-off meetings, updating organization websites, and distributing visual aids.
By adhering to this structured approach, we ensure that all stakeholders are well-informed regarding impending changes, thereby facilitating a smooth transition and fostering maximum user adoption.
IT Partner Responsibilities:
Our responsibilities involve setting deadlines, identifying user groups, and determining which services are involved in the project. We also need to understand how planned changes will affect users and services. We'll provide letters with helpful information for users, and create documents explaining the services or changes, and how it will affect users. Additionally, we'll prepare presentations, screenshots, and other materials needed for the project.
Client Responsibilities:
As a client, you will be required to coordinate all resources and staff schedules. You will also designate a point of contact to work with us. If there are any other vendors involved, you will need to coordinate their schedules too. It's your responsibility to configure all network equipment, such as load balancers, routers, firewalls, and switches. Lastly, you'll review and approve our work promptly.
Additional Cost Items:
Additional costs for setting up and configuring Microsoft 365 services may be applicable. Gathering data from devices outside of Microsoft 365, such as desktop computers, servers, or active network equipment, is excluded from the project.
Prerequisites:
You need to have purchased one of our services to get started.
Plan:
The plan will be tailored to your specific needs. It will include a kick-off meeting to begin with, identifying security objectives, assessing your current security status, and identifying any security gaps. We'll provide recommendations and best practices, and create a roadmap for improving security. Finally, we'll have a meeting to review all the deliverables.
Success Criteria:
We consider the project a success only once the implementation plan is ready, and all necessary documents and materials are sent to users on time.
