Our main objective is to devise a comprehensive migration plan tailored to your needs, encompassing the seamless transfer of various types of data from G Suite to Microsoft 365. The success of the project can only be measured by the complete migration of all user data from Gmail and Google Drive to the designated Microsoft 365 tenant.
IT Partner responsibilities:
- Gather all necessary information and validate the integrity of the G Suite data meticulously, ensuring accuracy every step of the way.
- Tailor and configure the Microsoft 365 tenant to seamlessly accommodate the organization's operational requirements, optimizing functionality and usability.
- Create user accounts within the Microsoft 365 framework with precision and attention to detail, aligning user profiles with their respective roles and permissions.
- Allocate appropriate licenses to users in accordance with their roles and resource needs to streamline operations and manage costs effectively.
- Strategically devise and execute a structured plan for transitioning from G Suite to Microsoft 365, outlining clear objectives and milestones.
- Provide clear and concise communication to users, offering informative messages to facilitate understanding and readiness for the transition.
- Initiate and oversee the data migration process with precision, ensuring the secure and efficient transfer of data to the new platform.
- Establish and configure OneDrive (SharePoint) profiles for each user undergoing migration, enabling seamless collaboration and file management within the Microsoft 365 ecosystem.
Client responsibilities:
- Coordinate the allocation of client resources and staff schedules efficiently, ensuring availability and participation as required.
- Appoint a dedicated person to liaise with the IT Partner and coordinate all external vendor resources and schedules as necessary, facilitating smooth communication and collaboration.
- Promptly review and approve engagement deliverables within designated timelines, maintaining project momentum and ensuring timely progress.
- Configure all network equipment, including load balancers, routers, firewalls, and switches, to support the migration process and optimize system performance.
- Implement any necessary changes to internal and external DNS configurations as directed, ensuring seamless connectivity and functionality throughout the transition.
- Assist in identifying high-risk users, such as top executives and VIP users, as well as users with large mailboxes or extensive deleted folders, to prioritize their needs during the migration.
- Ensure IMAP Access is enabled for all users, facilitating smooth email migration and continued access to email services during the transition.
- Verify that contact and calendar services are activated for all users, ensuring uninterrupted productivity and communication during and after the migration process.
- Communicate to end users the importance of refraining from modifying documents in their Google Drive accounts during the migration process in order to avoid data discrepancies.
- Provide comprehensive end user support throughout the migration process, addressing any queries or issues promptly to minimize disruptions and ensure user satisfaction.
Additional cost items not provided by the project:
- Customer team training: Optional training sessions tailored to your team's needs can be arranged separately. These sessions aim to equip your team with the necessary skills and knowledge to effectively utilize the new platform.
- Corporate documents migration to SharePoint Online: Migration of corporate documents to SharePoint Online is not within the project's scope but can be arranged separately. This ensures a seamless transition of critical documents, fostering efficient collaboration and document management within the new environment.
- Desktop software settings configuration: Customization of desktop software settings is not covered in the project scope. However, this can be arranged separately to ensure optimal performance and compatibility with the new platform.
Here are some limitations to be aware of:
- SharePoint Online and OneDrive for Business set boundaries on file path length and naming conventions. These restrictions could complicate the migration from Google Drive. While we aim to employ automated solutions, meticulous preparation remains pivotal.
- OneDrive for Business imposes a 260-character limit on file paths, inclusive of library names and usernames. Encoding certain characters further shrinks available space, potentially shortening actual file paths.
- Both SharePoint Online and OneDrive for Business have strict rules regarding file and folder name extensions. A predetermined list of prohibited extensions adds complexity to the migration process.
- Upon project completion, a comprehensive project closeout report will be provided indicating the final project status, including adherence to acceptance criteria, the identification of lingering issues, and a detailed financial breakdown. For additional documentation needs, such as an extensive report or analysis, arrangements can be made at an extra fee.
- Our service offers a streamlined, secure, and cost-effective pathway to migrate to Microsoft 365. This encompasses the seamless transition of email, contacts, calendars, tasks, files, and data, ensuring minimal disruption to your operations.
Prerequisites:
- Ensure you have a Microsoft 365 tenant with appropriate Exchange Online licenses set up before proceeding with the migration.
- Verify that you have access to and control over the DNS settings for your email domain, as DNS configuration may be required during the migration process.
- Make sure you have administrative access to the G Suite account you will be migrating from.
- Confirm that the source data to be migrated from Google Drive is from a paid version of the service, as free accounts may not be supported for migration.
- Ensure that the destination for your migrated data is OneDrive for Business, and that each user in the destination environment has an appropriate SKU license that includes OneDrive for Business access.
Plan:
- Kick-off meeting: Schedule and conduct a meeting to discuss the goals, timeline, and expectations for the migration project with all relevant stakeholders.
- Source system health check: Assess the current state and readiness of the source system (G Suite) to identify any potential issues or areas that may require attention before migration.
- User creation or AD connect configuration: Set up user accounts in the destination Microsoft 365 environment, either manually or through Active Directory (AD) connect tool configuration, ensuring smooth user access post-migration.
- Email and data migration: Initiate the migration process to transfer email, contacts, calendars, files, and other relevant data from G Suite to Microsoft 365.
- MX record transition: Transfer MX (Mail Exchange) records to direct incoming email traffic to the new Microsoft 365 tenant, ensuring uninterrupted email communication during and after migration.
- Final email and data migration: Complete the migration process, ensuring all data has been successfully transferred and is accessible in the new environment.
Success criteria:
- Access to Exchange Online from any device: Ensure that users can seamlessly access their Exchange Online mailboxes from desktop PCs, mobile phones, and tablets from any location.
- Successful migration of G Suite data: Confirm that all data from G Suite, including email, contacts, calendars, and files, has been successfully migrated to the Microsoft 365 tenant and is accessible to all user profiles.
- Functioning transport rules: Verify that all necessary transport rules, such as email forwarding or spam filtering, are correctly configured and operational in the new environment.
- Seamless email sending and receiving: Confirm that users can both send and receive emails using Exchange Online without any disruption.
- Effective Exchange Online Protection: Ensure that Exchange Online Protection is properly configured and functioning to provide adequate security measures for email communication within the organization.
