While there might be a slight delay in receiving emails during the switch, we make sure it's as brief as possible. For those who can tolerate this temporary delay, we also provide an alternative process for transferring emails between Microsoft 365 setups.
IT Partner responsibilities
- Gather data from the original tenant.
- Bring data into the new tenant.
- Prepare older emails for transfer.
- Establish proxy services for continuous email access.
- Move all mailbox content, including emails, to the new location.
- Adjust domain settings to support the transition.
Client responsibilities
- Designate a dedicated point of contact for effective collaboration with the IT Partner.
- Manage external vendor resources and schedule coordination.
- Optimize network configurations, encompassing routers, firewalls, and load balancers.
- Tailor email software deployment to meet client needs, particularly for Microsoft Outlook or similar applications.
- Adjust DNS settings internally and externally as required for the migration.
- Proactively identify critical users, such as executives and VIPs, along with those with substantial mailbox volumes or extensive deleted items.
- Assist in recreating Outlook profiles across all user devices.
- Communicate changes to users promptly, furnishing comprehensive details for a smooth transition.
Additional cost items not provided by the project
- Informing users about upcoming modifications through detailed notifications.
- Offering optional customer team training as an additional service.
- Considering the possibility of transferring corporate documents to SharePoint Online as an optional service offering.
- Setting up and refining desktop software for smooth integration.
- Providing a comprehensive project summary report after completion covering project status, remaining issues, and financial analysis. This documentation is available upon request at an additional fee.

- You need full administrative access to the current Microsoft 365 account.
- You need full administrative access to the new Microsoft 365 account, and you need licenses for Exchange Online.
- You need access to the DNS settings for your email domain.
Plan
- Hold an initial meeting to launch discussions on the transition.
- Assess the source system's health pre-migration.
- Establish users or configure the AD Connect tool for user setup.
- Commence the email transfer.
- Confirm the email transfer's success.
- Adjust the MX record to route emails to the new Microsoft 365 environment.
- Conclude the final email transfer.
- Address any necessary tasks following the migration.

User Access: Ensure users can effortlessly reach Exchange Online across various devices and locations. Test different access methods for confirmation.
Migration Completion: Confirm the successful migration from the old to the new Microsoft 365 environment. Test user logins and permissions to ensure seamless access.
Rules Functionality: Validate the functionality of all essential transport rules. Test various scenarios to ensure correct application.
Email Operations: Test the sending and receiving of emails via Exchange Online. Confirm prompt delivery without errors.
Online Protection: Verify the correct configuration and active filtering of Exchange Online Protection (EOP) against spam, malware, and other threats.
Message Integrity: Monitor message flow during migration to prevent any loss. Ensure all messages are correctly routed without delays or losses.
